Meeting Minutes Monday, October 2, 2017

a. Introductions & Icebreaker
SFAC members introduced themselves and answered the following questions:

c. Announcements
- Alice passed out flyers advertising I Love UCSC Week taking place the week of October
16-20th, put on by the SUA Office of Internal Affairs.
- CSF is happening this weekend in Merced. Amanda, Kiryl, Alice, and Suini are
attending. Suini will send out the agenda and ask for questions from the members this week. Alice will be attending CSF, as she been working with the CSF Chair on funding commencement.
The Quarry Amphitheater will be opening on Saturday, October 14th. SFAC members will receive a ticket. More details to come next week; Lucy can answer any questions.

Alice and Suini will be speaking at the Quarry Amphitheater Campus Celebration on
October 19th from 12:00 - 1:00 pm. Members are encouraged to attend.

Suini shares that the author of a proposal from last year, the Society of Asian Scientists & Engineers, contacted her in regards to their funding call request. Over the summer, they requested to change the way in the funds allocated would be used.

Aaron proposes that the author come to an SFAC meeting to let the group know
of their request, in lieu of an application.

Sabina asks about the process for this type of requests usually is; is there a
protocol? What has been the practice in the past?
Lisa clarifies that this request is not a new proposal, rather an amendment to what was already submitted and approved by the committee.

Gina shares her concerns on making exceptions for this group, on the basis that it will set a precedent that the SFAC funding proposal process does not follow the regular timeline that other proposals follow. Bryna agrees.

Kiryl asks what the new intention of the funds is, and notes that the conference is happening this upcoming weeks. Per emails with the author of the proposal,
Mario confirms that the author will not have enough time to receive the funding for the new intention.
- Outcome: Suini will respond to the author letting her know that the committee
will not be able to fund her request.
- Community Agreements
a. Suini asks the group if any committee members have any community agreement ideas for the upcoming school year. Some suggestions for community agreements include:
Take space, make space

Challenge the idea, not the person

Make sure new committee members’ questions & different levels of knowledge
Treat each other with mutual respect
on student fees are respected and acknowledged
Suini asks people to see in their spaces what community agreements are in place that are successful. Next week, the committee will finalize the community agreements.
- Role of SFAC and Reflections
a. The committee members went around and shared their thoughts, highlights, and what they appreciated of SFAC in the last school year:
Learned more about student fees & developed a deeper understanding of the university

SFAC is a safe space & ideas are welcomed; going through the proposal
process was difficult but fun
The consultation that committee members engage with their constituents & how they bring that to the space is representative of student voices that are not at the table
The way that members discuss & challenge ideas
The committee members are very welcoming; a new idea for this year is to change the way the grading process is
Excited to see what SFAC looks like from the beginning to the end of the year

A new idea for this year is to invite different resources to SFAC to hear about how they’re using student fees. This is also a way to hold administrators accountable & can help SFAC understand what their practices are

- Committee Operations
- Suini shared information on the current SFAC website and invites committee members
to review it. The goal is to update the current site & add updated photos. A group photo will be taken during the next meeting.
- Suini recommends adding personal member photos next to their names and contact
information.

The office hours sign-up sheet went around for members to provide their fall office hours. Sabina recommends changing the way that office hours are structured to have more people participate. Ashley recommends partnering with college senates to advertise the purpose of SFAC.
- Suini introduces and explains the differences between the internal and external
subcommittees. The committee at large broke up and discussed plans, concerns, and suggestions for both internal & external subcommittees.
